To set up a new donation, click the ‘ADD DONATION’ button in the top right corner of the donations tab.

Make sure to set the entry as a donation or lead. As a lead, you do not need to create an account. But if is a donation, there are more fields that are required like account info, vehicle info, title info.

Both the leads and donations have the same new donation screen. When first taking a donation, use the search bar to check if we already have an account for this donor. If an account come up matching the info to a Kars4kids account, DO NOT match it!

Then start filling out the boxes as follows. Please make sure to fill in all the highlighted fields even if there is no asterisks.

Please fill out all the pick up info. When you add the zip, the city and state should populate automatically.
In Admin, fill out referrer type, referrer and donation source. Allows texts for now is a check box but will be changing to a drop down.

The account info is on the same page as the donation entry. If you fill in the pick up detail first, there will be a drop down option if you put your cursor inside the phone and address boxes and vice versa. See 2nd pic


When done, click create donation and account.
What a donation looks like

Left of page from the top:
• Year, make and model
• Donor name
• Donor email
• Donor phone number
• Pick up address
If the car has been assigned, you see:
• Tower
• Their phone number and if applicable lot number (click on ‘view in Copart’ line to open the lot in Copart. Click on the ‘view info’ for more info on the tower.)
• Notes
• Donation date
Top right side of page from top:
• Donation status- May be changed as needed and cancelled with a reason.
• Convert to lead/donation (the 3 dots near the status)
In a line across the top:
• Account (Donor information)
• Tasks (for setting/editing follow-ups- Please change as needed with new donations and after working on a record to reflect the most recent activity)
• Activity (for recording interactions/email/texts/in office) emails and texts automatically refresh but other activities have to be refreshed manually to view.
• Assigning (for the Operations department to decide which tower to send this vehicle to)
• Admin (Queue, donation ownership, dates)
• Accounting (for the Operations department to keep track of income and expenses)
